At EduManage, we respect your privacy. This policy explains what data we collect, how we use it, with whom we share it, and what rights you have. It applies to all users of the platform — instructors, students, administrators, and educational institutions.

1. Information We Collect

We collect information necessary for operating the platform: • Information you provide — name, email address, phone number, role (instructor/student/admin), profile picture, and institutional affiliation. • Academic data — course enrollments, assignments, grades, attendance, instructor notes, and platform activity. • Technical data — IP address, browser type, operating system, login times, and usage logs. • User content — messages, files, videos, and recordings you upload. • AI interactions — questions, prompts, and text you submit to AI tools within the platform.

2. How We Use Your Information

Your information is used solely for the following purposes: • Platform operation — managing courses, assignments, grades, and attendance. • Communication — sending notifications and updates via email, SMS, and WhatsApp. • Reports and analytics to improve the learning experience. • Security, fraud detection, and abuse prevention. • Legal compliance. We do not sell personal information to third parties and do not use your information for external marketing purposes without your explicit consent.

3. Data Security

We implement advanced security measures, including: • Encryption in transit (HTTPS/TLS) and at rest. • Two-factor authentication (2FA) for admin accounts. • Role-based access control (RBAC). • Daily backups and secure server infrastructure. • Audit logs for all sensitive operations. However, no system is completely secure. We recommend using strong passwords, changing them periodically, and never sharing your credentials.

4. AI Tools and Third-Party Services

EduManage uses external service providers for various purposes: • OpenAI / Anthropic — for text processing, content generation, and analysis. Personally Identifiable Information (PII) is filtered as much as possible before transmission. • ElevenLabs — for voice cloning and audio content generation. • Zoom / Google Meet — for live classes. • PayPal / Stripe — for payment processing. • WhatsApp Business API, SMS, and email — for notifications. • TikTok / YouTube / Meta — if you connect your account, we may upload educational content you create to these platforms, according to the permissions you grant. Each provider operates according to its own privacy policy. Use of these services is subject to the providers' terms and privacy policies.

5. Cookies and Tracking Technologies

We use cookies and similar technologies for: • Essential cookies — for platform operation and session management. • Functional cookies — for remembering preferences (language, theme). • Analytics cookies — for measuring usage (Google Analytics). You can block cookies in your browser settings, but some functionality may be affected.

6. Sharing of Information

We may share information under the following circumstances: • Within your educational institution — instructors see their students' grades, administrators see course reports. • With service providers — only as necessary for operation (see Section 4). • By legal requirement — court order, investigation, or authority request. • In the event of merger or acquisition — with prior notice. We never sell personal information.

7. Your Rights

Under Israeli Privacy Protection Law, GDPR, and CCPA, you have the following rights: • Right of access — request a copy of your information. • Right of rectification — request correction of inaccurate information. • Right to erasure — request deletion of information ("right to be forgotten"). • Right to restriction — limit certain processing of your information. • Right to portability — receive your information in a portable format. • Right to object — object to specific processing activities. • Right to withdraw consent — at any time, without affecting prior processing. 8. Data Retention

We retain information for the time necessary for the purposes for which it was collected: • Active account data — for the duration of platform use. • Academic data (grades, certificates) — 7 years or as required by the institution. • Technical logs — up to 90 days. • Information for legal rights — as required by law. After retention, information is deleted or processed into anonymous form (irreversible anonymization).

9. Minimum Age

Platform use is intended for users aged 13 and above. • Users aged 13-18 — parental/guardian consent required. • Users under 13 — not permitted to register directly. Educational institutions may create accounts for younger students under their full responsibility and with parental consent. If we become aware that information was collected from a minor without consent, we will delete it immediately.

10. Changes to This Policy

We may update this policy from time to time. • Material changes — we will notify you by email or in-app notification 30 days in advance. • Technical changes — will be posted on this page with a new update date. Continued use of the platform after policy updates constitutes acceptance of the updated terms. We recommend reviewing the policy periodically.
